What is a declaration?
A declaration is a formal statement made for an identified purpose. It may concern a person's circumstances or another fact that a receiving organisation needs formally recorded.
The document's title should match the required service. Not every family-related statement follows the same notary or court procedure.
Begin with the receiving authority's request
Ask for the exact document name, intended purpose and any required wording. A general request for a declaration may be too vague to choose the right form.
Find out whether the recipient needs notarisation, a court-issued document or another certification. These are different procedures.

The final checklist depends on the service. The following information helps define the request.
- Name of the receiving authority
- Exact declaration requested
- Identity details of the declarant
- Facts that need to be confirmed
- Relevant certificates or other supporting records
Use accurate and limited wording
The declaration should state the facts required for its purpose and match the supporting documents. Avoid adding broad promises or legal conclusions that the declarant does not intend.
If facts are disputed, ask whether a declaration is suitable at all. It should not be used to bypass a necessary judicial determination.
Confirm signing and language requirements
